Overview

An expense platform connects organizational context, captured spending, policy review, approval and reimbursement. Accounting export sits downstream of those decisions and should not change their historical meaning.

Key concepts

Distinguish actors, records and state transitions. A submitted expense can reference a department, while a reimbursement references the expense decision that authorized it.

Implementation considerations

Avoid treating the API as the system of record for every connected provider. Future ownership and synchronization responsibilities must be explicitly agreed.

Illustrative data model

This local fixture shows a possible representation for the concepts above. It is not an endpoint response, production configuration or a claim that the described capability is implemented.

Design review checklist

  • Document which organization owns the platform overview representation and which actor may view or change it.
  • Test the boundaries of organization id, expense id, approval id, reimbursement id using synthetic values, including missing or inconsistent references.
  • Before future implementation, obtain an approved contract and review failure behavior. This documentation does not authorize production activation.
